Data Privacy Notice

At Vitalograph we take your privacy seriously. It is important that you know exactly what we do with the personal information that you and others may provide to us and what it means to you. The EU General Data Protection Regulations (“GDPR”), which becomes law as of 25th May 2018, places enhanced accountability and transparency obligations on organisations using your personal information. This Data Privacy Notice (“DPN”) outlines our approach to Data Privacy to fulfil our obligations under the GDPR. We also welcome it as an opportunity to reassure you of the importance we place on keeping your personal data secure, and of the strict guidelines we apply to its use.


Reasons/purposes for processing information

We process personal information to enable us to provide services for clinical trials, health services for subjects and healthcare professionals, to promote our goods and services and to maintain our accounts and records. We also process personal information for maintaining the security of our facilities.


Categories of individuals whose information we process:

  • Customers and clients
  • Suppliers and services providers
  • Advisers, consultants and other professional experts
  • Complainants and enquirers
  • Individuals captured by our CCTV on our premises
  • Business contacts

The following information may be collected:

  • Title, name, job title, department and company.
  • Contact information including address, phone number and email address.
  • Demographic information such as postcode, preferences and interests.
  • Other information relevant to customer surveys and/or offers.
  • Computer IP address.
  • Facial Images and License plates on CCTV at our facilities.

Why do we collect this information?

We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Internal record keeping
  • Improve our products and services
  • Security and Safety
  • Periodically contact you regarding products, promotions or other information which we think you may find interesting using the contact details that you have provided and only if you have given prior consent for Vitalograph to do so

How we collect information about you

  • When you ask us to provide you with certain products and services
  • When you visit our website
  • When you visit our facilities
  • When you or others give us information verbally or in writing
  • From information publicly available about you
  • From activities where you have given us your consent

Sensitive Personal Data

When appointed by a CRO/ Sponsor to be a Data Processor for a clinical trial we may process sensitive personal data on subject participating in a clinical trial. All clinical trial subject data has gone through a process of pseudonymisation before it can be received by us for processing. We only process clinical trial subject data in accordance with the instructions of the Data Controller (the CRO/Sponsor).


Sometimes we may collect and use your information even though you are not a customer

You may be a Director or representative of one of our customers or suppliers. If so, we will apply the principles outlined in this DPN when dealing with your information. We also have a legal obligation to retain CCTV images at our facilities to help prevent crime and ensure the security of our facilities.


Cookies

We collect information about your use of this website by using technology known as cookies. A cookie is a small amount of data that is passed to your browser and stored on your computer ready to be retrieved at a later time by the website that originally sent it. The cookies we use allow our website to respond to you in a more personal way by remembering your preferences and customisations. We also use cookies to anonymously analyse how you use the website which helps us improve the user experience. Your rights under the GDPR

We will never disclose your personal information to third parties unless required by law to do so. You may request details of personal information which we hold about you under the relevant Data Privacy Law. If you would like a copy of the information held on you please contact our Data Protection Officer at the below address. You may choose to restrict the collection or use of your personal information in the following ways:

  • Whenever you are asked to fill in a form on the website or receive a form of direct marketing from us, look for a box to unsubscribe from receiving direct communication from us.
  • If you have previously agreed to us using your personal information for direct communication, you may also opt-out via your profile page if you have a registered account on this website.

Transfers

It may sometimes be necessary to transfer personal information overseas. When this is needed information may be transferred to countries or territories around the world. Any transfers made will be in full compliance with all aspects of the relevant Data Privacy Laws.
